Fix Label Sheet Alignment and Printer Scaling

Alignment errors have patterns. A constant offset usually needs an origin or margin correction; drift that grows down the page usually points to scale, page size, pitch, or printer-feed calibration.

Identify the error pattern

Do not begin by nudging every label. Mark the intended top-left corners on a plain-paper test, place it behind the label sheet, and measure horizontal and vertical error at the first and last rows.

A uniform shift is different from cumulative drift. Recording both ends prevents a margin change from hiding a scale problem.

Remove hidden print scaling

Confirm the PDF page size matches the loaded stock. In Acrobat, Actual size prints without scaling, while Fit can reduce or enlarge the page. Browser and operating-system dialogs use different labels, so inspect percentage, Fit, shrink, borderless, and paper-source settings.

Print a measurement target and compare it with a physical ruler. If a 100 mm reference prints as 97 mm, the output is scaled to 97%; margin adjustment cannot fix the growing drift that follows.

scale = printed measurement ÷ intended measurement
Example: 97 mm ÷ 100 mm = 0.97 = 97%

Measure the sheet geometry

Measure page width and height, label width and height, top/left margins, and horizontal/vertical gaps. For die-cut stock, label pitch is label height plus the vertical gap. Small pitch errors compound over many rows.

Use the CSV to Finished Labels tool when the stock is not covered by a preset. Enter physical dimensions in millimetres and preview the calculated rows, columns, and positions before exporting.

  • Test on plain paper before using label stock.
  • Hold the test behind one sheet against a window or light box.
  • Change one dimension, print one page, and record the result.

Calibrate thermal media when the feed drifts

Thermal printers sense gaps, black marks, notches, or continuous media. Zebra documents calibration for skipped labels and images that wander side-to-side or up-and-down. Follow the procedure for the exact printer and media rather than copying a button sequence from another model.

Calibration affects sensing and feed. It does not correct a PDF generated at the wrong size, so verify document geometry and driver scaling first.

Use a controlled correction order

Start with paper size and Actual size, then verify printer/media selection, then verify label geometry, then adjust a constant origin offset. Reprint a first-and-last-row test after each change.

Once aligned, save the printer, driver, stock, and template settings as a named production profile. A working template can fail later if a different driver silently re-enables Fit or borderless expansion.
